How to Use Zegal to e-Sign Student Contracts

The demo will show you how Zegal can take the student information from an external source like a database or spreadsheet and automatically generate and send contracts to your students for e-signing.

It’s important to note that this is a demo environment and isn’t actual student data. You should not use this demo app to key in any private or confidential information.

Step 1: Set up the Excel spreadsheet

You may connect Zegal to a database via an API in your setup. 

The process is the same, regardless of the data source pushed to Zegal, so we have created this demo spreadsheet to show you how it works.

We have created an Excel spreadsheet with dummy student information as part of your Demo pack. 

This Excel spreadsheet is connected to your Zegal demo account via an API to sync all the data.

Once you have downloaded the spreadsheet file to your desktop and opened it, you must unblock the Excel file before accessing it. 

Follow these steps to unblock the Excel file:

  1. Right-click on the downloaded Excel file
  2. Click on Properties
  3. Under the General tab, check Unblock and Apply.

Step 2: Generate student contracts in Zegal

You will note that the Excel spreadsheet has numerous columns of data. This data maps directly to the student contract in Zegal. 

You can amend any of the dummy data in the spreadsheet, but in this demo version, you should not try to add or delete columns as this is not supported. (In your live Zegal account, you can amend the setup of this data freely.)

Once you are happy with the data, select the row and click Generate contracts for selected row to generate the relevant student contract.

Click Yes to generate the contract.

Step 3: View your student contracts in Zegal

We have set up the demo account to only send contracts for e-signing after a review. 

To view your student contracts, log in to your Zegal demo account at app.zegal.com

Use the following user credentials:

Email: sales+edutrust@zegal.com

Password: edutrustdemo2023

After logging in, click All documents to view the documents folder.

Now click on the Student Contracts folder.

Note that student data is auto-populated into the contract.

Step 4: Send for signing

Once your review is complete, click Finish Creating.

The Zegal app will automatically apply the university signature to the document.

Students and parents will receive an email notification asking them to sign the document.

Step 5: Student signing

The students can access the document via the invitation email.

Note: The students can log in independently without creating an account.

Then, they just need to click Sign. 

Students can draw, sign, type, or upload an image of their signature.

And click Confirm to sign the document.

Step 6: Confirmation and insights

After signing the document, all parties receive a copy of the signed document.

The documents are stored in Zegal cloud servers. You can access them in the All documents->Student Contracts folder or on Google Drive.

After all the parties have signed the document, it will sync automatically, and the workflow will be marked as completed.
