If your company has <\/span><strong><span id=\"E122\">more than 250 employees and handles the data of European citizens<\/span><\/strong><span id=\"E123\"><strong> in any capacity<\/strong>, you&#8217;re liable to any fines that may come from a GDPR violation.<\/span><\/p>\n<h4 id=\"E126\" class=\"qowt-stl-Heading2\"><span id=\"E129\">Assign Appropriate Oversight<\/span><\/h4>\n<p id=\"E130\"><span id=\"E131\">A lot about the GDPR is vague. It asks, for instance, that personal data needs to be provided a <\/span><strong><span id=\"E132\">reasonable amount of protection<\/span><\/strong><span id=\"E133\">, assigning no standards for what qualifies as reasonable, and demands that users retain a vast amount of <\/span><a id=\"E134\" contenteditable=\"false\" href=\"https:\/\/zegal.com\/blog\/post\/a-cautionary-tale-the-brief-look-into-the-future-of-personalisation\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span id=\"E135\">control over how their data is used<\/span><\/a><span id=\"E136\">. <\/span><\/p>\n<p id=\"E137\"><span id=\"E138\">Rights include the ability to receive their saved data in a standard format. Also to have their data removed at request, and be notified of any way in which their data is preserved. <\/span><span id=\"E140\">This means you need a well-organised system for recording and storing data and dedicated staff to make sure that they can fulfil user demands upon request.<\/span><\/p>\n<p id=\"E141\"><span id=\"E142\">There are<\/span><strong><span id=\"E143\"> three positions<\/span><\/strong><span id=\"E144\"> which you\u2019ll need to assign to oversee issues with how your business handles personal data. <\/span><\/p>\n<p id=\"E145\"><span id=\"E146\">The <\/span><strong><span id=\"E147\">data processor, data controller, and data protection officer<\/span><\/strong><span id=\"E148\"> each fulfil different roles <\/span><span style=\"font-size: inherit;\">and have different responsibilities.<\/span><\/p>\n<\/div>\n<\/div>\n<div id=\"contentsContainer\">\n<div id=\"contents\">\n<p id=\"E149\"><span id=\"E150\">They serve as checks and balances for various stages of data management. So making sure that you have assigned those roles to at least three qualified staff members will make sure you\u2019re covered in the case of any incident with a data breach.<\/span><\/p>\n<h4 id=\"E153\" class=\"qowt-stl-Heading2\"><span id=\"E156\">Come Up With a Response Plan<\/span><\/h4>\n<p id=\"E157\"><span id=\"E158\">One of the most stringent restrictions in place with the GDPR is the fact that companies need to <\/span><strong><span id=\"E159\">report a data breach to the proper authorities within 72 hours.<\/span><\/strong><span id=\"E160\"> <\/span><\/p>\n<p id=\"E161\"><span id=\"E162\">That can be difficult to achieve for smaller companies that don&#8217;t have the same resources as their larger competitors. <\/span><\/p>\n<p id=\"E163\"><span id=\"E164\">You&#8217;ll want to make sure you&#8217;ve drilled your team so they know precisely how to respond when the worst happens.<\/span><\/p>\n<p id=\"E165\"><span id=\"E166\">You don&#8217;t have to do it alone, either. If you&#8217;re having trouble figuring out a methodology for a quick response, there are plenty of experts out there who can help. <\/span><\/p>\n<p id=\"E167\"><span id=\"E168\">Whether that means bringing <\/span><strong><span id=\"E169\">consultants on board<\/span><\/strong><span id=\"E170\"> to help you polish your plan or putting a contractor on retainer to handle your responses directly, <\/span><span id=\"E171\">asking for outside help<\/span><span id=\"E172\"> can save you a whole lot of money on fines in the future.<\/span><\/p>\n<h4 id=\"E175\" class=\"qowt-stl-Heading2\"><span id=\"E178\">Take Steps to Stay Compliant<\/span><\/h4>\n<p id=\"E179\"><span id=\"E180\">One thing to remember about the GDPR is that it&#8217;s a living document. Changes aren&#8217;t uncommon, and regulators won&#8217;t give you the benefit of the doubt just because you didn&#8217;t know about a particular regulatory change. <\/span><\/p>\n<p id=\"E181\"><span id=\"E182\">Fortunately, there are <\/span><span id=\"E183\">resources<\/span><span id=\"E184\"> you can use to keep up to date <\/span><a id=\"E185\" contenteditable=\"false\" href=\"https:\/\/www.signavio.com\/post\/6-biggest-changes-in-gdpr\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span id=\"E186\">on the latest changes<\/span><\/a><span id=\"E187\">, but you&#8217;ll want to <\/span><strong><span id=\"E188\">assign a staff member<\/span><\/strong><span id=\"E189\"> to take the responsibility of recognising any changes and letting the appropriate people know so they can apply relevant changes to company policies.<\/span><\/p>\n<p id=\"E190\"><span id=\"E191\">The other factor is that the <\/span><strong><span id=\"E192\">rules for GDPR can vary from state to state<\/span><span id=\"E193\">. <\/span><\/strong><\/p>\n<p id=\"E194\"><span id=\"E195\">You want to make sure that all of your research and regulations are tailored to where you live and what customers you&#8217;re doing business with.<\/span><\/p>\n<p id=\"E196\"><span id=\"E197\">The last thing you need to do is spend money staying compliant with costly rules that you don&#8217;t need to follow.<\/span><\/p>\n<\/div>\n<\/div>\n<div id=\"contentsContainer\">\n<div id=\"contents\">\n<p id=\"E198\"><span id=\"E199\">Implementing new regulations<\/span><span id=\"E200\"> also means you need to <\/span><strong><span id=\"E201\">update your systems and security protocols<\/span><\/strong><span id=\"E202\">.<\/span><\/p>\n<p id=\"E203\"><span id=\"E204\">Legacy software and outdated systems can easily lead to compliance issues. If you haven\u2019t updated your systems to meet the newest data safety standards, you should do so immediately.<\/span><\/p>\n<p id=\"E205\"><span id=\"E206\">Enterprise-level businesses that use custom-built software may have a dedicated software development team to manage internal tools and systems. <\/span><\/p>\n<p id=\"E207\"><span id=\"E208\">They can ensure that all company software <\/span><span id=\"E209\">meets both the company and GDPR standards<\/span><span id=\"E210\">, as well as <\/span><span id=\"E211\">making changes on the fly <\/span><a id=\"E212\" contenteditable=\"false\" href=\"https:\/\/www.daxima.com\/enterprise-software-development\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span id=\"E213\">when the need arises<\/span><\/a><span id=\"E214\">.<\/span><\/p>\n<p id=\"E215\"><span id=\"E216\">Small businesses may not have such professionals on their team, but that doesn\u2019t mean they should rely on third-party vendors to automatically adapt to new regulations. <\/span><\/p>\n<p id=\"E217\"><span id=\"E218\">Take a good look at the tools you use daily, <\/span><strong><span id=\"E219\">what data they store<\/span><\/strong><span id=\"E220\"> and process, and <\/span><strong><span id=\"E221\">for what purpose<\/span><span id=\"E222\">. <\/span><\/strong><\/p>\n<p id=\"E223\"><span id=\"E224\">Start by <\/span><span id=\"E225\">updating systems that deal with the most sensitive data<\/span><span id=\"E226\">, and check with the service providers that their settings are compliant with GDPR standards.<\/span><\/p>\n<p id=\"E227\"><span id=\"E228\">Don&#8217;t hesitate to <\/span><a id=\"E229\" contenteditable=\"false\" href=\"https:\/\/zegal.com\/blog\/post\/data-privacy-for-beginners\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span id=\"E230\">reach out to experts<\/span><\/a><span id=\"E231\"> if you don&#8217;t feel confident implementing those changes on your own.<\/span><span id=\"E232\"><\/span><\/p>\n<h4 id=\"E233\" class=\"qowt-stl-Heading2\"><span id=\"E236\">Recognising the Consequences<\/span><\/h4>\n<p id=\"E237\"><span id=\"E238\">Between the sometimes ambiguous and obtuse language of the GDPR and the profitability of online data theft,<\/span><strong><span id=\"E239\"> it&#8217;s hard to ensure that you<\/span><span id=\"E240\"> <\/span><span id=\"E241\">won&#8217;t unintentionally violate the regulations<\/span><span id=\"E242\"> written into the GDPR. <\/span><\/strong><\/p>\n<p id=\"E243\"><span id=\"E244\">That&#8217;s why it&#8217;s essential to know the consequences and be sure that you\u2019re ready to pay them if necessary.<\/span><\/p>\n<p id=\"E245\"><span id=\"E246\">The most immediate cost is <\/span><strong><span id=\"E247\">financial<\/span><span id=\"E248\">. <\/span><\/strong><\/p>\n<p id=\"E249\"><span id=\"E250\">The GDPR has the same swing as a federal law, and <\/span><a id=\"E251\" contenteditable=\"false\" href=\"https:\/\/kirkpatrickprice.com\/white-papers\/cost-gdpr-non-compliance-fines-penalties\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span id=\"E252\">violation fines are stiffer<\/span><\/a><span id=\"E253\"> than most of the national or international standards in place. <\/span><\/p>\n<p id=\"E254\"><span id=\"E255\">But you also need to consider the impact a data breach can have on your <\/span><strong><span id=\"E256\">reputation<\/span><\/strong><span id=\"E257\"><strong>.<\/strong> <\/span><\/p>\n<p id=\"E258\"><span id=\"E259\">A data breach can be a <\/span><span id=\"E260\"><strong>public relations disaste<\/strong>r<\/span><span id=\"E261\"> for both small businesses and enterprise-level corporations.
