Overview of a Promotion Letter

Essentially, you’ll need a promotion letter when you have a high-performing employee on your hands. Typically, you’ve gotten to a point where that employee is ready for a promotion. Basically, a formal letter is always good practice to document any employee progression. Additionally, it allows you to record the event both with human resources and build goodwill with the employee.

What’s in a Promotion Letter

Generally, once an employee has been promoted, you’ll want to formally provide this information to the employee. Essentially, this promotion letter is a great way to ensure that the employer recognises the work of the employee and can feel good about the promotion.

Make sure to cover these points:

  • The effective data of the promotion
  • Talk about the employee’s previous job responsibilities and the efforts that he or she have made to perform a superior job or to go above and beyond what is expected
  • Tell the person why he or she was promoted
  • Provide the previous title of the employee and the new title
  • Outline new job responsibilities that the employee will take on
  • Finally, let the employee know the change in compensation that comes along with the promotion, including the change in salary and any other benefits that the employee has earned
